Rostering and timesheets for security teams.

Sites that need cover around the clock leave no room for a missed handover. Crewline shows who’s on post, keeps site instructions with the shift and turns guard hours into timesheets you can check before the pay run.

With CrewlineThe live board shows who’s on site and who’s late for their start, as it happens.

  • BeforeSite instructions sit in a folder in the gatehouse, if anyone reads them.

With CrewlineAccess notes appear on the clock screen, and managers can ask everyone to tap “Got it” on an update.

With CrewlineStart-of-shift and patrol checklists are ticked on the phone, with the time of each tick recorded.

Features

How Crewline works for security teams.

  • Day, night and weekend rosters

Roster shifts of any length across every site, including overnight shifts, repeat a pattern weekly and publish when it’s ready.

  • Clock-in checked at the post

New security sites start with a 200 metre clock-in zone. Clock-ins away from the site are flagged, or refused if you prefer.

  • Handover in the site chat

Each site’s chat follows the roster, so notes, photos and voice messages reach the guards rostered on that site.

  • Flags worth checking

Timesheets flag late starts, early finishes, shifts over 12 hours and anyone who didn’t clock out.

  • Urgent updates get through

Managers can mark a message urgent so it skips quiet hours and muted chats.

  • Location only at clock-in and out

GPS is read when a guard clocks in or out, never tracked during the shift.

Checklists

Starter checklists, ready to edit.

Load a template onto any site, change it to suit, and keep up to 40 items. Staff tick items on their phone during the shift.

  • Start of shift

    • Receive handover from previous guard
    • Check radio and phone
    • Read site instructions and incident log
  • Patrol

    • Check all external doors and gates
    • Check car park
    • Check fire exits are clear
    • Log any incidents

Pay and awards

Your award’s rates, applied to every hour.

Most guards are covered by the Security Services Industry Award 2020 [MA000016]. Crewline doesn’t include a ready-made template for this award yet. Start from the simple pay rules, enter the rates from the current Fair Work pay guide, and Crewline applies them to every timesheet.

You can set ordinary, early and late, overnight, Saturday, Sunday, public holiday and overtime rates for casual, part-time and full-time staff, plus the hours after which overtime starts.

FAQ

Security questions, answered.

More on clock-in privacy, payroll export and pricing in the main FAQ.

Does Crewline track guards during a patrol?

No. Location is read only when a guard clocks in or out, to check they’re at the site. Patrol checklists record when each item was ticked, but Crewline isn’t a GPS patrol-tracking or incident-reporting system.

Can I roster 12-hour and overnight shifts?

Yes. Shifts can run past midnight, and an end time earlier than the start is treated as overnight. Time entries over 12 hours are flagged on the timesheet so you can check them.

Which award applies to security guards?

Most guards are covered by the Security Services Industry Award 2020 [MA000016]. Crewline doesn’t include a ready-made template for it yet: start from the simple pay rules and enter the rates from the current Fair Work pay guide.
