Rostering and timesheets for facility maintenance teams.

Your technicians look after offices, schools, strata and retail sites, often several in a day. Crewline puts each visit on the roster with its own checklist and clock-in, so you know who was in which building and for how long.

Sound familiar?

Running maintenance teams without the ring-around.

  • BeforeA building manager asks when your technician was last on site, and the answer is in someone’s diary.

With CrewlineEvery visit is clocked in and out inside the building’s zone, so the timesheet shows the date, the times and who it was.

  • BeforeAccess details for each building live in one supervisor’s head.

With CrewlineKeep access, parking and key safe notes on the site. Technicians see them on the clock screen when they arrive.

  • BeforeNobody can show the job was left tidy, or what it looked like beforehand.

With CrewlineTechnicians tick the site visit checklist and add up to six photos at clock-out. Ask for the site contact’s signature where you need it.

Features

How Crewline works for maintenance teams.

  • Rounds across buildings

Roster a technician to several sites in a day, repeat regular rounds weekly, or copy last week and adjust.

  • Access notes on the clock screen

Key safe codes, alarm instructions and parking notes are shown to the technician when they reach the site.

  • Site visit checklist

Check in with the site contact, complete the work order, photo before and after, leave the area clean. Edit it per site.

  • Photos and sign-off

Up to six photos and a note at clock-out, and the site contact’s signature for sites where you turn sign-off on.

  • Handover in the site chat

Each building’s chat follows the roster, so the next technician sees the note about the faulty door closer.

  • Hours by site

Reports show hours and labour cost by site and by person, and export to a payroll-ready CSV.

Checklists

Starter checklists, ready to edit.

Load a template onto any site, change it to suit, and keep up to 40 items. Staff tick items on their phone during the shift.

Pay and awards

Your award’s rates, applied to every hour.

Which award applies depends on the trade and the work, and many maintenance businesses have an enterprise agreement. Crewline doesn’t include a facility maintenance template, so start from the simple pay rules and enter the rates from the Fair Work pay guide that applies to your staff.

Time-based rates (weekends, public holidays, overtime, early and late work) are applied for you. Allowances and call-out payments aren’t calculated, so add those in your payroll system.

Check the Fair Work pay guides (opens in a new tab)

  • Rates for casual, part-time and full-time staff
  • Early, late and overnight shift rates
  • Saturday, Sunday and public holiday rates
  • Overtime by the day, the week or both
  • Public holidays for each site’s state
  • Pay shown as an estimate until you confirm the rates

FAQ

Facility maintenance questions, answered.

More on clock-in privacy, payroll export and pricing in the main FAQ.

Does Crewline manage work orders or assets?

No. Crewline handles rostering, clock-in, timesheets, checklists, team chat and pay rates. Keep work orders, asset registers and quoting in your maintenance system, and use the checklist to confirm each job was closed off.

Can a technician visit several buildings in one day?

Yes. Roster one shift per site and they clock in and out at each one, so hours land on the right building. Travel time between sites isn’t recorded automatically; a manager can add a time entry if you pay for it.

Can the site contact sign off the visit?

Yes. Turn on sign-off for a site and the technician collects the site contact’s signature on their phone at clock-out. Visits finished without a signature are flagged on the timesheet.
