Rostering and timesheets for landscaping crews.

Mowing runs, maintenance rounds and install jobs mean your crews see several properties a day. Crewline gives each visit a shift, a checklist and a clock-in, so hours land on the right site.

Sound familiar?

Running landscaping crews without the ring-around.

  • BeforeTimesheets say “8 hours” but not which properties got them.

With CrewlineEach visit is clocked in and out at its site, so reports show hours by property and by person.

  • BeforeRain changes the plan and half the crew doesn’t get the message.

With CrewlinePost an announcement to everyone, marked urgent if it can’t wait, or message just the crew on that site.

  • BeforeA client asks whether the crew came at all last Tuesday.

With CrewlineThe GPS-checked clock-in, the ticked visit checklist and clock-out photos show what happened.

Features

How Crewline works for landscaping crews.

  • Rounds that repeat

Roster a person across several sites in a day and repeat regular rounds weekly, or copy last week and adjust.

  • Zones sized for big grounds

New sites start with a 200 metre clock-in zone. Widen it for parks, schools and estates, up to 2 km.

  • Visit checklists

Start from the standard visit template and edit it per property. Unfinished checklists are flagged on the timesheet.

  • Works out of range

Clock-ins on rural blocks save on the phone and sync when signal returns.

  • Photos in the site chat

Share a photo of the broken sprinkler or the locked gate so the next crew on that property knows.

  • Hours to payroll

Approve timesheets, then export a payroll-ready CSV with hours for each pay category.

Checklists

Starter checklists, ready to edit.

Load a template onto any site, change it to suit, and keep up to 40 items. Staff tick items on their phone during the shift.

  • Standard visit

    • Mow and edge lawns
    • Weed garden beds
    • Prune as required
    • Blow paths and clear green waste

Pay and awards

Your award’s rates, applied to every hour.

Many gardeners and landscapers are covered by the Gardening and Landscaping Services Award 2020 [MA000101]. Crewline doesn’t include a ready-made template for this award yet. Start from the simple pay rules, enter the rates from the current Fair Work pay guide, and Crewline applies them to every timesheet.

Time-based rates (weekends, public holidays, overtime, early and late work) are applied for you. Allowances aren’t calculated, so add those in your payroll system.

Check the Fair Work pay guides (opens in a new tab)

  • Rates for casual, part-time and full-time staff
  • Early, late and overnight shift rates
  • Saturday, Sunday and public holiday rates
  • Overtime by the day, the week or both
  • Public holidays for each site’s state
  • Pay shown as an estimate until you confirm the rates

FAQ

Landscaping & gardening questions, answered.

More on clock-in privacy, payroll export and pricing in the main FAQ.

Is Crewline job management software?

No. Crewline handles rostering, clock-in, timesheets, checklists, team chat and pay rates. It doesn’t do quoting, invoicing or route planning, so it sits alongside the job software you already use.

Can a gardener work several sites in one day?

Yes. Roster one shift per site and they clock in and out at each one. Time between sites isn’t recorded automatically; a manager can add a time entry if your award or agreement pays for travel.

Which award covers gardeners and landscapers?

Many are covered by the Gardening and Landscaping Services Award 2020 [MA000101]. Crewline doesn’t include a template for it yet: start from the simple pay rules and enter the rates from the current Fair Work pay guide.
